Check the books with the Trial Balance and General Ledger
Use the Trial Balance to see every account's balance and check that debits equal credits, then open the General Ledger to see the entries behind any account.
Where to find it
AccountingReportsTrial Balance
Steps
- Open Accounting > Reports and choose Trial Balance under Ledgers.
- Type a From date and an As of date. The report shows three blocks for every account: the Initial Balance (before your From date), the Debit and Credit movement in the period, and the End Balance.
- Use Show to list only the Accounts with movement in the period. The other choices are Accounts with balance and All accounts.
- Scroll to the bottom. The Total row shows total Debit and total Credit. They must be equal.
- Open Accounting > Reports again and choose General Ledger under Ledgers. It lists every account with the number of entries it has.
- Click an account row, such as 1100 Accounts Receivable, to open its entries. Each line shows the date, the partner, the debit, the credit and the running balance.
- Click a document number to open the invoice, bill, payment or journal entry behind that line.
Tip
In the General Ledger you can narrow the list with Account, Journal, Partner or Search (a move number, reference or label). Use PDF or XLSX to export what is on the screen.
Note
Both reports only count posted entries. If the Total debit and credit differ, ask your accountant to check before you close the month.
What happens next
To see the same balances laid out as statements, run the Balance Sheet and the Profit and Loss report.
