Return goods to a vendor

Send damaged or wrong goods back. Stock goes down, and a debit note records what the vendor owes you.

Where to find it PurchaseOperationsReceipts / GRNs

Before you start

The goods must already be received. See Receive goods from a vendor.

Steps

  1. Open Purchase and choose Operations > Receipts / GRNs. Every goods receipt is listed there.
  2. Type the purchase order number (or the vendor's name) in the search box to find the receipt.
  3. Click Return on the receipt's row. The Return to vendor window opens.
  4. Next to each product, type how many you are sending back. The text under the name shows how many you received and how many can still be returned.
  5. Under Debit note, choose what to do about the money. Draft a new debit note is the usual choice. You can also choose stock only, or link the return to a debit note you already have. Tick Post the debit note immediately only if you want it posted at once. Otherwise it stays a draft.
  6. Click Create Return. The returned quantity leaves your stock, and the return is listed as its own row in the receipts list.
  7. Open Vendors > Debit Notes. The new debit note is listed as Draft. Open it and click Confirm to post it. It then reduces what you owe the vendor.

Tip

You can also start from the order: open the purchase order, click GRNs / Receipts, open the receipt and click Return to Vendor. The window is the same.

Note

Only a Purchase Manager can return goods. You can return the same receipt more than once, up to the quantity received. The receipt shows the returned quantity in its Returned column.

What happens next

When the vendor sends a credit or a refund, the debit note is settled in Accounting. See Issue a debit note and Pay a vendor bill.
