Issue a debit note

Reduce what you owe a vendor for returned goods or a billing mistake, straight from the posted bill, then apply the debit note to that bill.

Before you start

The bill you want to reduce must be confirmed (status Posted). If the bill is still a draft, change it instead - no debit note is needed.

Steps

  1. Open Accounting > Vendors > Vendor Bills and open the posted bill you need to reduce.
  2. Open the actions menu (⋯) at the top and choose Debit Note.
  3. SiaOne creates a Draft debit note with the same vendor and the same lines. Change an amount or a quantity to return only part of a line, or click the bin to remove a line you are not returning. The Totals follow as you edit.
  4. Click Confirm. The debit note gets its own number (DN-00004, for example) and is Posted. What you owe the vendor goes down by the amount of the debit note.
  5. To use the debit note, open the actions menu (⋯) on it and choose Apply to Bill. Scroll the menu if you do not see it.
  6. Find the bill - type its number in Search bill number - pick it, check the Amount and click Apply. The debit note now shows Paid: it has been used up.
  7. Open the bill again. It shows Partially Paid (or Paid, if the debit note covered all of it) and Current Due is lower.

Tip

Open Vendors > Debit Notes to see every debit note in one list.

Note

A debit note is a new document. It does not change the original bill - applying it is what lowers what is still due. You can only apply a debit note to an open bill of the same vendor in the same currency.

Note

If the vendor sends the money back instead of keeping the credit, do not apply the debit note. Open the posted debit note and click Refund. Choose the journal the money arrived in and check the amount.

What happens next

The vendor's balance is lower and the expense (or stock) cost is reduced. To pay what is still owed, read Pay a vendor bill.
