Mark a supplier cost as billable to a customer, then pull it onto that customer's next invoice so you get the money back.

Before you start

You need the supplier's bill, and you need to know which customer the cost is for. For example, a courier charge for sending goods to one customer.

Steps

  1. Open Accounting > Vendors > Vendor Bills, click New and choose the Vendor. Type the supplier's invoice number in Vendor Reference.
  2. On the Expenses tab, type what the cost is for, the amount and the tax.
  3. In Customer, choose who this cost is for. Billable ticks itself - untick it if you decide to carry the cost yourself.
  4. Click Confirm to post the bill. The cost now waits to be billed to the customer.
  5. Open Accounting > Customers > Customer Invoices, click New and choose the same customer.
  6. A yellow button says "pending billable expense". Click View.
  7. Tick the expense you want to bill and click Add Selected. A green message says "1 billable expense added to invoice".
  8. The expense is now a line on the invoice. Check it, then click Confirm.

Tip

The invoice line has the same amount as the cost. To add your own margin, change the Unit Price on the invoice line before you confirm.

Note

The yellow button only shows the expenses that were marked for the customer you chose. A cost that is not ticked Billable, or that has no Customer, never appears there.

Important

An expense can be billed once. After you confirm the invoice it no longer appears in the list for that customer.

What happens next

The customer owes you the extra amount like any other invoice. Read Record a customer payment when the money arrives.
