Group customers under a parent company

Link branch customers to a head office. Each branch is still invoiced on its own, and the head office shows the whole group's invoices and balance.

Before you start

Create the head office as a customer first, in the same way as any other customer. Each branch (or job, or subsidiary) stays a customer of its own: it gets its own invoices, its own payments and its own statement. The parent only groups them. A parent cannot sit under another parent.

Steps

  1. Open Accounting > Customers > Customers and open the branch customer.
  2. In Parent Company, type a few letters and pick the head office. The hint under the field says it is billed separately and only groups the company under the parent in reports.
  3. Click Save. A message says the customer was updated.
  4. Do the same for each other branch.
  5. Open the head office. The buttons at the top now cover every branch under it: Companies counts them, Group invoices counts all their invoices, and Group balance adds up what they owe. Under Parent Company the page says "This is a parent" and how many companies are under it.
  6. Click Group invoices. The invoice list opens with the chip Customer: ... + its companies, so you see the invoices of every branch in one list.

Tip

Click Companies to list only the branches, or Group balance to open the group's unpaid invoices. In the Customers list, the filters Has Companies and Under a Parent, and the Parent and Companies columns, help you find the groups.

Note

A branch is still invoiced and paid as a separate customer. Linking it to a parent does not move any invoice or change any amount.
