Issue a post-dated cheque to a vendor
Pay a vendor bill with a cheque that carries a future date, and mark it cleared when the bank pays it.
Where to find it
AccountingVendorsVendor Bills
Before you start
The bill must be confirmed (status Posted). A cheque you issue with a future date is a promise to pay. SiaOne keeps it in a separate PDC account until the cheque date, so your bank balance only goes down when the bank pays it.
Steps
- Open Accounting > Vendors > Vendor Bills and open the bill the cheque pays.
- Click Pay.
- Set Payment Method to PDC / Post-dated Cheque. Two new fields appear.
- Type the Cheque Number, and the Cheque Date - the date you wrote on the cheque. Payment Date stays as today, the day you wrote it.
- Click Save Payment. SiaOne opens the payment with the status PDC Pending. The bill shows as paid by cheque, but no money has left the bank yet.
- When the vendor banks the cheque and the bank pays it, open the payment and click Mark as Cleared, then Continue. If the cheque is not banked or is returned, open the actions menu (⋯) while it is still pending: Mark as Bounced and Cancel PDC are there.
- Cleared it by mistake? Open the actions menu (⋯) and choose Reset to Pending.
Tip
All your cheques are listed in Vendors > Vendor Payments with their PDC status, and in Reports > Payment Register.
What happens next
When the cheque is cleared, the payment shows PDC Cleared and the money is out of the bank journal. For an ordinary payment, read Pay a vendor bill. For cheques you receive, read Record a post-dated cheque (PDC).
