Before you start
A post-dated cheque is a promise of money on a future date. SiaOne keeps it in a separate PDC account until the cheque's date arrives, so your bank balance only goes up when the bank actually pays. The invoice must be confirmed (status Posted).
Steps
- Open Accounting > Customers > Customer Invoices and open the invoice the cheque pays.
- Click Receive Payment.
- Set Payment Method to PDC / Post-dated Cheque. Two new fields appear.
- Type the Cheque Number, and the Cheque Date - the date printed on the cheque, when the bank can pay it. Payment Date stays as today, the day you received the cheque.
- Click Save Payment. SiaOne opens the payment with the status PDC Pending. The invoice shows as paid by cheque, but no money has reached the bank yet.
- When the cheque date comes and the bank pays, open the payment and click Mark as Cleared, then Continue. The amount moves into your bank account. If the cheque is not paid, open the actions menu (⋯) while it is still pending: Mark as Bounced and Cancel PDC are there. The amount goes back onto the invoice.
- Cleared it by mistake? Open the actions menu (⋯) and choose Reset to Pending.
Tip
All cheques are listed in Customers > Customer Payments with their PDC status, and in Reports > Payment Register. Check them every morning to see which cheques are due.
What happens next
When the cheque is cleared, the payment shows PDC Cleared and the bank journal has the money. To see how an ordinary payment works, read Record a customer payment.
