Invoice a percentage or an advance (progress invoicing)
Bill part of an order now - a percentage or a fixed amount - and bill the rest later.
Before you start
You need a confirmed sales order. See Confirm a sales order. The setting Progress / advance invoicing must be on. Steps 1 and 2 show where it is. A system administrator can change this setting.
Steps
- Open Settings (the gear on the home page) and click the Sales tab.
- Switch on Progress / advance invoicing, then click Save Settings.
- Open the confirmed sales order and click Create Invoice. A window asks how much of the order you want to invoice now.
- Choose Percentage of the order and type 30. The other choices are Full remaining balance (100%) and Fixed amount.
- Click Create invoice. A draft invoice opens with one line, Progress invoice (30%), for 30% of the order.
- Go back to the order. Click Create Invoice again. Full remaining balance bills what is left, here the other 70%.
Tip
Use Fixed amount for an advance of a set amount, such as a deposit of 5,000.
Note
The invoice is a draft. Check it and click Confirm to post it. SiaOne remembers how much of the order is already invoiced, so you cannot invoice more than the order total. If the order has payment terms with instalments, such as 50% / 45% / 5%, Create Invoice with no amount bills the next instalment.
Important
With this setting on, Create Invoice always asks how much to bill. Switch the setting off again if you do not need progress billing. Invoices you already created are not affected.
What happens next
Confirm the draft invoice, then record the customer's payment: see Create a customer invoice and Record a customer payment.
